Advanced Workload & Reassign Ownership access is needed.
If a user leaves the organisation or changes roles it can be necessary to transfer their workload to another user. This can be done en masse for all actions a user has via the Advanced Workload.
This article outlines:
1. What Actions Can Be Re-Assigned?
|CA/PA||Non-Conformance Owner||The user specified as the Owner in the main details section of a CA/PA record|
|Stage Owner||The user specified as the Owner in a stage tab (e.g. the Corrective Action owner)|
|Stage Action Owner||The user specified as the Owner of an individual action|
|User Defined 5||The user specified in the fifth user defined field located in the properties section|
|User Defined 6||
The user specified in the sixth user defined field located in the properties section
The user specified in the Account Manager field
|Assets||Owner||The person specified in the Owner field|
|Activity Type Owner||The user shown in the Owner field on each activity type (e.g. the Maintenance type Owner)|
|Activity Owners||The user specified against the Owner field in all unperformed activity instances|
|Scheduled Events||The name of the attendee. This will only be changed if the event is scheduled. Completed events will not be changed|
|Trainer (Event not Complete)||The name specified as the trainer will be updated if the event has not already been carried out|
|Master Event Trainer||This will update the name listed against the Trainer field for master event records. Changing this will not impact existing training records that have been created using this master event and only the template is updated|
|Incident||Incident Owner||The name specified in the Owner field in the main details section|
Risk Assessment to Perform
|The name specified in the Owner field for a Risk Assessment|
|Stage Owner||The name specified in the Owner field on an Incident stage tab|
|Stage Action Owner||The name specified in the Owner field on an Incident stage action|
|Stage Team Member||he name specified in the Owner field on an Incident stage tab|
2. How to Re-Assign Actions
- Open Q-Pulse.
- Open the Workload tab.
- Click the Advanced Workload icon (N.B. You will require the Access Advanced Workload permission for this).
- Click on the Re-assign Ownership bar.
- From the Ownership pane, select the user you wish to remove actions from and then click Apply.
- Next, select the user you want to have these actions assigned to.
- Check the actions you wish re-assigned.
- Click Assign.
Enter a reason for the re-assignment. This is an optional part of the process, however, if the re-assignment message is enabled this will be included on the email to inform users that the re-assignment has taken place.
- Click OK.
